Report what is happening inside the room

Describe warmer-than-usual conditions, a temperature alarm, visible ice, water, an unusual noise, or a door that does not close as expected. State whether the equipment is a cooler or a freezer and when staff first noticed the change. If your business already records temperatures, have those records available. Protect stock according to your established procedures rather than relying on the room display alone.

Explain the layout and access

A useful request includes the service address, approximate room size, equipment brand and model when available, and the on-site contact. Tell dispatch whether related equipment is indoors, outdoors, or on a roof, if known. Mention access arrangements or building restrictions. Do not climb onto a roof, enter a restricted area, or remove a panel simply to collect details for the request.

Discuss findings before choosing work

A diagnostic visit gives the technician an opportunity to compare your observations with the equipment's condition. Different reported symptoms can require different checks, so a photograph or phone description may not establish the repair. Ask for an explanation of the findings, recommended work, and any parts or access requirements. Dispatch confirms the visit separately after reviewing the request.
