Name the appliance, then describe the symptom

Include the equipment type and brand rather than only saying that the kitchen is down. Useful details might include an appliance that will not start, an interrupted cycle, a displayed error, a leak, or a change in heating or cooling. Tell dispatch what the appliance normally does and what has changed. Do not assume every equipment category or model has the same service requirements.

Provide information that helps plan the visit

Send the service address, on-site contact, model if available, and relevant maintenance history. State the power or fuel type only if you already know it; do not open a cover to find out. Mention restricted kitchen access or the need to coordinate with a building manager. For several faulty appliances, list each one and its symptoms separately so the requested work is clear.

Confirm scope after the equipment is assessed

Dispatch first reviews the type of equipment and the request. A diagnostic visit, when arranged, lets the technician assess the reported fault and explain recommended work. Ask which tasks are included and whether additional parts, access, or specialist support may be needed. Stop using equipment you believe may be unsafe and follow your site's safety procedures; a callback form is not an emergency response service.
