Identify the unit and affected area

Tell dispatch whether the request concerns a reach-in refrigerator, freezer, undercounter unit, or refrigerated prep table. On a prep table, say whether the issue appears in the lower cabinet, the ingredient area, or both. Describe unexpected temperature readings, alarms, water, visible ice, door problems, or unusual noises. Include when staff first noticed the change and whether it is constant or intermittent.

Gather details without interrupting safe work

Provide the brand, model, service address, and a person who can identify the affected unit when the technician arrives. If there are several similar cabinets, describe its position in the kitchen. Record a visible error message and mention recent repairs or changes in operation. Protect ingredients under your business procedures, and do not open equipment panels or attempt an electrical repair.

Use diagnosis to define the repair

The technician needs to assess the reported symptoms before recommending a particular repair. A cabinet that feels warm does not, on its own, identify a failed component. Discuss the findings, the proposed scope, and any parts or follow-up requirements. Tell dispatch about kitchen access restrictions or service windows so those practical details can be considered when arranging a visit.
