Describe the affected space and symptoms

Tell dispatch whether the concern is no cooling, no heating, uneven conditions between rooms, an unusual noise, water, or a visible control message. State which business areas are affected and when the change began. If several systems serve the building, identify the relevant unit when known. Describe what occupants observe rather than guessing at a refrigerant, wiring, or component problem.

Clarify equipment responsibility and access

Include the service address, business name, on-site contact, and equipment model if available in existing records. Mention whether equipment is on a roof or in a locked area, and whether a landlord or building manager must arrange access. Do not climb, enter restricted spaces, or open panels to obtain these details. Clarify who can authorize an assessment and discuss proposed work.

Discuss diagnosis and the proposed scope

A technician assesses the reported issue before recommending repairs. A change in room comfort alone does not identify the failed part or establish the work required. Ask for an explanation of findings, the proposed scope, and any parts or access needs. If you believe equipment presents a hazard, stop using it and follow building safety procedures rather than waiting for a website callback.
