Start with existing equipment records

Check the manual, a previous service invoice or your equipment inventory for the full brand, model and serial number. Confirm that the record belongs to the affected unit. A logo on the door may identify the brand but does not necessarily identify the model. Preserve letters, numbers, spaces and suffixes as they appear; similar-looking model names can refer to different versions.

Photograph a safely accessible label

If the identification label is visible and safely accessible, take one photograph showing the entire label and another showing the equipment as a whole. Make sure the text is readable rather than cropped to a single number. Label position varies, so use the unit's manual instead of opening covers to look for it. For a walk-in system, identify which component each photograph shows if there are separate labels. Do not climb onto a roof or enter restricted areas to collect these details.

Connect the identification to the actual problem

Send the equipment type and what staff observed: for example, a reach-in refrigerator running warmer than usual, a prep table with a recurring alarm, or an ice machine producing less ice. Add when the change started and the service location. If the label cannot be read, provide the information you have. A photograph and a model number support the conversation; they do not by themselves establish the repair or confirm that a particular part is required.
