Give each unit its own record

Start with a short equipment ID that your staff can recognize, such as Prep Table 1 or Walk-in Freezer. Add its location in the business, brand, model and serial number. Keep the manufacturer's manual, service invoices and photographs with the same record. When several similar units are installed, this prevents a repair note from being attached to the wrong refrigerator.

Record observations, not guessed causes

For each entry, include the date and time, who observed the issue, any displayed temperature or error message, and what was different from normal operation. Note whether the symptom was continuous or occasional. A statement such as “display alarm at opening, stopped before lunch” gives useful context without assuming which part failed. Record any known interruption to power or water and any recent work on the unit.

Close the loop after service

Add the service date, invoice reference, the technician's documented findings and the work approved and completed. Record any follow-up action and the person responsible for it. Plan routine care using the manufacturer's instructions and the actual equipment's service recommendations; this log does not set a universal maintenance interval. Staff should record only observations they can make safely without opening panels or accessing restricted equipment.
